Standardised excellence
When was the last time a Cleaning Services Manager visited your premises? When did your cleaning company last carry out a quality audit? How accessible are their senior managers? Are the staff trained and their training records updated regularly?
Quality management is more than a buzzword; it is critical to the smooth running of any cleaning contract, and fundamental to the maintenance of good relationships between client, cleaner and contractor. It starts with the successful commencement of a contract, through ongoing standards of service delivery and continuous improvement, regular quality audits and meaningful reports, accessible management, total transparency in the running of the contract and, above all, the involvement and encouragement of all staff engaged in the service provision.
Understanding this, Dynamiq Cleaning made a decision to establish sophisticated systems and procedures that satisfy all of these needs, in order to be able to offer the highest levels of service at the ‘value for money’ prices demanded by discerning clients. The managers of Dynamiq’s cleaning teams are given Blackberry hand-held computers, which transmit real-time data to the company’s central computer. This information can be interrogated on demand by managers and clients alike, and used to generate reports bespoke to their requirements.
Dynamiq begins every contract with a dedicated project implementation team who generally start work a month prior to contract start, with the contract manager in place from that time, in order to achieve familiarisation with the staff, the client and the geography of the site. This team will not hand over responsibility to the ongoing management team until all the required services are being delivered and all Key Performance Indicators are fulfilled.
Dynamiq’s sophisticated communication system is designed to ensure prompt response to any issues that may arise. Their 24/7 help desk is the first port of call, enabling staff to deal with any issue and immediately notifies the manager responsible. In-built system checks and automatic escalation procedures ensure that the call is dealt with satisfactorily, and every query has a traceable history, visible to the client. Levels of management within the company have been kept to a minimum, with even the most senior personnel accessible to all.
David Furlong, managing director of Dynamiq explains: “We treat best practice as standard and constantly look to challenge what we do and how we do it, going a step beyond our clients’ expectations. Throughout the company, we encourage our management teams to take responsibility for their actions and to deliver a continuous improvement programme. We believe that the success of our operation begins with the loyalty and dedication of all our staff, which generates higher standards and improved client satisfaction. We constantly encourage dialogue and solicit ideas and views from our staff on how contracts can be developed and improved. After all, they are the ones who are servicing the contracts on a daily basis.”
To meet today’s demands, Dynamiq is fully committed to the industry standards of health and safety and environmental compliance, and they expect the same high standards from the supply partners that they have selected to work with. It was one of the first cleaning companies to obtain accreditation to ISO 9001:2000, ISO 14001, IASO 18001, Investors in People and the European Standard for Quality Monitoring – BS EN 13549, which requires them to prove through inspection that all of their services have been delivered to the client’s specifications, and in their best interests. Of course, Dynamiq has the right technology at their fingertips to be able to verify this at any time on every site.
With 3,000 employees around the UK, Dynamiq Cleaning is an exciting force in the business services sector with a growing pedigree.
